Accommodation

Important notice: Due to our current limited resources and part time staff, we are unable to process urgent accommodation requests. All requests will be handled during office hours.

The Brussels Institute for Advanced Studies provides university-style residence for visiting senior researchers (min. PhD level) collaborating with academic staff at the ULB or VUB. We provide a total of 18 fully furnished and equipped autonomous apartments. Apartments are normally reserved for fellows invited by the programme directors, to spend between 3 and 5 months in Brussels, living and working together on specific subjects.

When there are apartments free during or outside of the programmes, these become available for short-term stays ranging from one week to one month (longer stays subject to availability). For Post-docs on MSCA/ARES (or similar) grants coming from outside of the EEA, please contact us for more information.
Stays at BrIAS are exclusively reserved for visiting researchers/affiliated staff engaged in academic collaboration with the ULB or VUB. Touristic stays are not permitted.

Booking procedure for accommodation

To request accommodation, visiting researchers (including PhDs and Post-Docs) must send a letter of invitation signed by a ULB or VUB academic staff member. A template for this letter can be downloaded by clicking on the button above. Once completed, Please send the filled-out template to valeria.cristancho.caycedo@vub.be who will then proceed to book your stay if there are apartments available. The minimum stay is of 7 nights.

Cancellation and Modification Policy

  • More than 14 days before the start of the stay: administrative fee of one night.
  • Between 14 and 5 days before the start of the stay: 50% of the total cost of the stay.
  • Less than 5 days before the start of the stay: 100% of the total cost of the stay.
  • Changes to the duration of stay are possible depending on availability and may result in adjustments to the total cost.
    • Modifications requested fewer than five days prior to the scheduled check-in date will incur a penalty equal to the full booking cost.
    • In the event of early departure or reduction of the stay period, the unused days will be considered forfeited and are non-refundable. 

Conditions for PhDs and Post-docs

As per the regulations of the BrIAS steering committee, PhDs and Post Docs who book a room in BrIAS must participate in the ongoing BrIAS programme (see the annual theme on the website).

The BrIAS programme includes the presence of high-level academics at BrIAS that are connected to the theme, along with weekly seminars as well as other events (see the program on the website).

Committing to being present at the programme events means that PhDs and Post Docs will have to balance this with their other duties while in Brussels. It is therefore suggested to discuss the feasibility of this commitment with the person who has invited him/her. This commitment will be mentioned in the contract the PhDs and Post Docs will have to sign. If they don’t follow those rules, they will lose the right to stay in BrIAS after a meeting with the BrIAS Directors.

The special rates for Junior Researchers applies during the intensive programme at BrIAS. During the summer months when there are no programme events taking place, the standard prices apply.
